one of the biggest decisions an accounting firm can make is a choice of tech product. whether it’s a third monitor for everybody or a tax app appropriate to the firm’s size, it’s an expensive decision that can cause headaches in the short term or continued costs in the longer term.

the annual accounting firm operations and technology survey, using data from 2021, tracked data on preferred hardware and software brands. here are some of the most popular tools.
hardware
- dell led among desktops by a wide margin, the most common recent purchase by 49 percent of all firms, with hp coming in a distant second at 17 percent. apple computers were in use by only a few of the smallest firms.
- dell also led in laptops – preferred by 33 percent of all firms, compared with only 13 percent with hps and 11 percent with lenovos. mac laptops were the most recent purchase at 8.5 percent, proving more popular than microsoft, toshiba, acer and samsung.
- dell also topped sales of servers in all sizes of firms, in use by nearly half of small to extra-large firms. ibm/lenovo and cisco were near the bottom of the list.
- firms used a long array of workflow software, with no single one especially popular. eighty-one percent of solos and 53 percent of small firms weren’t using any workflow app. among large firms with 51-100 personnel, 21 percent were using cch practice management. doc.it workflow and practice cs projects tied at 14 percent. xcm workflow was by far the most popular at firms with over 100 personnel.
- among tax software, cch prosystem fx tax was vastly more popular among the largest firms, but lacerte, intuit’s proseries professional and drake were big among the smallest firms.
- cch prosystem fx engagement was the top choice of engagement management/audit software for medium to extra-large firms, in use by 16.5 percent of all respondents.
- cch prosystem fx scan was also the leading choice of 1040 scanning apps, in use by 13 percent, followed closely by doc.it scan and organize.
- quickbooks desktop payroll shot up from 16 percent for all firms in 2020 to 25 percent in 2021, though some of the apparent rise is attributable to more smaller firms responding in 2021.
- slightly more than half of respondents were not using any special workflow tool, but 9 percent were using practice cs projects.
- the use of practice management and time billing apps varied with the size of firms. practice cs was tops with solos (18 percent), many of whom preferred systems they developed in-house. practice cs and cch prosystems fx practice management led among medium and large firms.
- intuit is the clear leader in client accounting, with some form of quickbooks in the top five places.
- quickbooks also leads in firm accounting systems. the smaller firms preferred quickbooks accountant while the medium-sized and large opted for quickbooks pro/premier.
- the use of antivirus software was scattered across 15 providers. webroot proved the most common overall, especially among larger firms. among sole practitioners, mcafee/intel was most popular, in use by 14 percent. another 11 percent were using microsoft defender, and as many were using symantec/norton. (the various apps seem to be working. only about 3 percent of smaller firms and 7 percent of the largest firms reported suffering a major cyberattack.)
- a quarter of all respondents – and 59 percent of solos – were using a firewall or unified threat management app that was not among the big-name brands. cisco was most preferred by small firms and 23 percent of the extra-large firms. sonicwall/thoma bravo was in use by 23 percent of small and medium firms and 42 percent of large firms.
- zoom, the choice of 51 percent, led for videoconferencing, way ahead of all the competition. microsoft teams came in a distant second at 14 percent.
